The purpose of Participants, the difference between Participants and Clients, and more!

In this article we'll discuss what Participants are, the difference between Participants and Clients, how to add Participants, and how to send Participants Assessments.

Permissions

βœ… Clinician: Can assign participants to their own Clients.

βœ… Supervisor: Can assign participants to any Client.

❌ Biller: Billing roles alone do not have access any Client profiles.

βœ… Admin: Can assign participants to any Client.


Purpose

The Participants feature enables Clinicians to send Assessments to individuals other than the Client themselves such as a parent, a teacher, or a spouse -- all from within the actual Client's profile. πŸŽ‰

Participants can then complete Assessments on behalf of or in regards to the Client.


What Are "Participants"?

Participants are individuals in a Client's life who can help Clinicians gain a more holistic understanding of the Client through the completion of Assessments on behalf of or in regards to the Client.

The Participant's contact information (phone and/or email) is stored on the Client's profile, separately the Client's information.


πŸ’‘ For example, let's say that you are working with a 12-year-old Client named "Johnny". Johnny's parents are actively involved in Johnny's care.

You can add each of Johnny's parents as Participants on Johnny's Client profile and assign them parent-report Assessments to complete in regards to Johnny.


The Difference Between Participants and Clients

  • A Client is the identified person with whom you are working with in therapy and enroll on Blueprint.

  • A Participant, on the other hand, is an individual that is not in your care but may report to you via Assessments on behalf of or in regards to an active Client.

Adding Participants to a Client's Profile

You can add a Participant to a Client's profile upon enrollment or to any previously enrolled Client's profile at any time.

How to Add a Participant upon Client Enrollment

  1. When you are enrolling a new Client on Blueprint, simply click the Add Participant button within the Participants section of the new Client enrollment page.
    ​

  2. You'll then be prompted to select the relationship the Participant has to the Client (Parent/Guardian, Teacher, Spouse/Partner, or Other) and enter the Participant's first name, last name, email address, and/or cell phone number.
    ​

    πŸ’‘ Need to add more than one Participant? Just click Add Participant again to add another!

  3. Now, moving forward to the Assessments section, you'll be able to assign Assessments to the Client (if they are 13 or older) and/or the Participant(s).

How To add Participants to an Existing Client Profile

  1. Navigate to the Client's profile and click on the Client Info tab.

  2. At the bottom of the Client Info page you will find a Participants section where you can add new Participants to complete Assessments on behalf of/in regards to the enrolled Client.

    πŸ’‘ If you ever need to update a Participant's information, or remove them completely, you can do that right here on the Client's profile as well. 😊


Sending Assessments To Participants

Once Participants are added to a Client's profile, Assessments will automatically be sent (via text/email) according to the Assessment's defined frequency.

You can also use the Take Now button on the top of the Client's profile to send Assessments to the Participant or Client immediately:

πŸ’‘ Using the Take Now menu to send or open Assessments in a new tab, Blueprint will will send or open all of that person's currently assigned Assessments.


FAQ

  1. Q: Can Participants download the Blueprint mobile app?
    ​
    ​A: No. Only Clients 13 and older will have access to the Blueprint Client Mobile App. Participants can only complete Assessments through a web browser, accessed via a link that's sent to them in a text message or email from Blueprint, depending on if they have a phone number or email address on their Participant card.

  2. Q: Is there a limit to the number of Participants that can be assigned to a client?
    ​
    ​A: No. You can add as many Participants as you would like.

  3. Q: Where do the results of the Participants' Assessments show up?
    ​
    ​A: Along with the Client's other Assessment scores, scores from Participants will populate on the Client's profile summary page in the Assessments section. You can hover over the graph to see the Assessment results as well as who completed the Assessment.

  4. Q: What if a Participant eventually becomes a Client?

    A: No problem! You would enroll them like you do every other Client. They can still exist as Participants on other Client's profiles.
