In this article we'll discuss the purpose of Workflows, how you can create them, customize them, and more!


Important Notes

  • Workflows are an organization-wide setting. Any Workflows published will apply to all clients enrolled at your organization.


Permissions

Who can view, create, and edit Workflows?


✅ Clinician: Can view their clinic's Workflows.

✅ Supervisor: Can view, create, and edit their clinic's Workflows.

Biller: Biller roles alone do not have access their clinic's Workflows

✅ Admin: Can view, create, and edit their clinic's Workflows.


What are Workflows?

Workflows is a feature that enables Users to create custom, automated actions within Blueprint based on key events (Triggers) that happen throughout the client's care journey.


What can Workflows be used for?

Workflows can be used for many things such as:

  • automatically show clients a Safety Net if they submit an Assessment in which they responded to a question that indicates they are experiencing suicidal ideation

  • automatically assign clients specific Worksheets based on their total score on a specific Assessment

  • recommend specific Interventions to deliver to client, based on the client's total score change for a specific Assessment since the last time they completed it

  • and much more!


How to create a new Workflow

Creating a Workflow consists of selecting a Trigger and an Action.

  1. Navigate to the Settings page by clicking your name in the upper right corner of Blueprint and choose Workflows

  2. Click the blue Create Workflow button

  3. Give the Workflow a name and description (which can be edited at anytime), then click Create Workflow

  4. You'll immediately be prompted to select a Trigger. (Currently the only Trigger available is "Assessment Submitted" -- more coming soon!)

  5. Select the Assessment you'd like to base the Workflow on

  6. Add an optional filter, then click Save.

    💡 If you don't add a filter, the Workflow will be triggered simply by a Client submitting the Assessment, regardless of their responses or score.

  7. Click the + button below the Trigger card to add an Action

  8. Select an Action from the drop-down and set related options if applicable and click Save

  9. Add any other Actions you'd like

  10. Set the Workflow live for your clinic by switching the toggle from Draft to Published in the upper right corner


Triggers

A Trigger is the action that causes the Workflow to begin.

Explanation

Assessment Submitted

When a client submits the indicated Assessment

A Filter is the condition that the Trigger must meet for the Workflow to progress to the Action.

Trigger Filter Name

Workflow will proceed to Action when...

Question/Answer

A client selects a certain answer to a specific question on the Trigger Assessment that matches the defined Filter answer(s).

Multiple answers can be set in this Filter.

Total Score

A client's total score for the Trigger Assessment meets the defined values.

Operators (parameters) include:

  • less than

  • less than or equal to

  • greater than

  • greater than or equal to

  • equal to

  • between (inclusive)

Values (possible scores) populate automatically based on the selected Trigger Assessment.

Point Change

The amount that a client's total score has changed for the Trigger Assessment meets the defined values.

Values (possible point changes) populate automatically based on the selected Trigger Assessment.

Operators (parameters) include:

  • increase

  • decrease

Reference score includes:

  • since previous

  • since baseline

Percent Change

The amount that a client's total score has changed for the Trigger Assessment meets the defined values.

Values (possible percentage change) populate automatically based on the selected Trigger Assessment.

Operators (parameters) include:

  • increase

  • decrease

Reference score includes:

  • since previous

  • since baseline


Actions

Actions are just that -- the actions that occur automatically when a Trigger has occurred.

Assign Assessment

The selected Assessment will be assigned to the client immediately and delivered on their Next Assessment Date.

Assign Symptom Tracker

The selected Symptom Tracker will be assigned to the client, immediately available to them in the Check-in section of the Blueprint mobile app and client website.

Assign Worksheet

The selected Worksheet will be assigned to the client, immediately available to them in the Check-in section of the Blueprint mobile app and client website.

Mark as High Risk

Toggles on the High Risk flag on the client's profile.

Send Notification

An email and text will be sent to the client prompting to review their Safety Net.

Show Safety Net

The client will be prompted to review their Safety Net within the Blueprint mobile app and client website.

Clinician

Recommend Intervention

The selected Intervention will be shown as recommended on the client's profile Summary page.

Clinician

Send Email

An email will be sent to the defined recipient notifying them that a client has activated this Trigger.

Options include Primary Clinician, All assigned Clinicians, or any other email address.


FAQ

  1. Q: Can I create a Workflow just for my own clients?

    A: No, currently Workflows are an organization-wide setting.
